Introduction

Chronicle (“we,” “us,” or “our”) is a Discord bot service that records, transcribes, and summarizes tabletop roleplaying game (TTRPG) sessions. This Privacy Policy explains how we collect, use, and protect your information when you use Chronicle.

Information We Collect

Voice Data

When you explicitly start a recording session using the /start-session command, Chronicle captures audio from the voice channel. This audio is:

  • Transcribed into text using AI-powered speech-to-text services
  • Processed to extract campaign-relevant information (NPCs, quests, locations, etc.)
  • Not stored permanently as raw audio — audio files are deleted after processing

Campaign Data

Chronicle stores structured campaign data including:

  • Campaign names and settings
  • NPC names, descriptions, and relationships
  • Locations, quests, items, and events
  • Session summaries and transcripts
  • Player-provided campaign details

Discord Metadata

We receive standard Discord bot interaction data:

  • Server (guild) ID
  • Channel IDs
  • User IDs of participants who interact with Chronicle
  • Slash command inputs

Third-Party Services

We use the following third-party services to process your data:

  • OpenAI — for transcription and AI summarization
  • Notion (optional) — if you connect Notion, campaign data is synced to your workspace

How We Use Your Information

We use your information solely to provide Chronicle's core functionality:

  • Recording and transcribing voice sessions
  • Extracting and organizing campaign knowledge
  • Maintaining your campaign's knowledge graph
  • Syncing data to connected services (e.g., Notion)

We do not sell your data, use it for advertising, or share it with third parties beyond what is necessary to provide the service.

Data Storage and Security

  • Campaign data is stored in encrypted databases
  • Data is associated with your Discord server (guild)
  • We use industry-standard security practices to protect stored data

Data Retention

  • Raw audio: Deleted after transcription processing
  • Campaign data: Retained as long as your server uses Chronicle
  • Transcripts: Retained as part of your campaign's session history

Your Rights

Data Access

You can view your campaign data at any time using Chronicle's built-in commands.

Data Deletion

You can request deletion of your data by:

  1. Visiting our Support page
  2. Emailing us at the address listed on the Support page
  3. Joining our Discord support server and opening a ticket

When you request deletion, we will remove all campaign data associated with your server within 30 days.

Data Portability

Campaign data can be exported via Notion integration or Discord commands.

Children's Privacy

Chronicle is not intended for users under the age of 13. We do not knowingly collect information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of material changes through our Discord support server or documentation.
